The Washington Street Mission is seeking an Associate Director of Administration and Community Relations to join our team. Our organization has served the neediest in Springfield for more than 110 years. Every day, more than 130 community members visit our Mission. We provide hot coffee, showers, laundry, and much more. The Mission’s most important objective is to provide God’s love to the community so that churches, organizations, businesses, and individuals can have a place to engage in ministry among
the neediest in Springfield.

Job Responsibilities:

– Create and maintain systems and processes to monitor operations at the Mission
– In collaboration with the Director of Operations, provide vision and direction for all aspects of programming at the Mission
– Examine expenses to identify potential improvements to the efficiency of operations
– Coordinate the logistical and inventory needs of the Mission

Community Engagement:
– Develop fundraising opportunities and other new income opportunities
– Develop and implement a communication plan for engaging with businesses, churches and organizations in the Springfield area
– Constantly contact businesses, churches, and organizations to solicit their financial support for the Mission (Soliciting donations and developing fundraising opportunities must be the highest priority of this position.)
– Develop and implement an engagement plan to meet with priority partners in the business, non-profit, and church sectors
– Provide support and collaboration to volunteer recruitment, retention, and development
– Attend meetings and speak about the Mission in local churches or organizational meetings to advocate for the homeless and solicit financial support
– Oversee and post social media and website engagements of the Mission, in collaboration with the Executive Committee, the Director of Operations, and other staff members and vigorously “market and promote” the Mission
– Prepare and execute holiday mailings at Easter, Thanksgiving, and Christmas

– Supervise the Bookkeeper and assist the Bookkeeper, when requested by the Director of
Operations or the Executive Committee

– In collaboration with the President of the Board and the Director of Operations, develop the annual budget
– In collaboration with the Director of Operations, establish and collaborate on the staff
development process to include monthly meetings and training necessary to advance the
professional maturity of the staff
– In collaboration with the Director of Operations and approval of the Executive Committee, formally employ all staff at the Mission

– Report to the Director of Operations and the Executive Committee
– Provide reports to the Executive Committee and the Board of Directors, as needed
– Assist the Board President with preparing for the quarterly board meetings
– Oversee the completion of monthly financial reporting requirements and work with the
Bookkeeper to complete the annual audit
– Ensure compliance with Standing Rules for the Mission
– In collaboration with the Director of Operations, ensure that all policies of the Mission are communicated and enforced
– Provide oversight for staff and staff benefit programs, including insurance, time-off, and other areas as assigned

Additional Duties:
– Prepare all reports and documents for all business meetings
– In conjunction with the President, prepare the agenda for all business meetings
– Attend all business meetings
– As your time allows, build relationships with community members
– Identify and refer community members to other programs or services at the Mission
– Accurately track the programs and services
– Responsible for processing donations, which includes depositing funds from donors, and
ensuring receipt letters are sent to donors
– Responsible for reviewing bills, and paying bills once approved by the Treasurer
– Perform background checks, as needed
– Responsible for processing new employees by completing tax documents, ensuring enrollment in benefits
– Print timesheets for employees and scan them to the Bookkeeper when completed
– Responsible for inputting National Able employee hours to ensure they are paid every other week

-Assist in other Mission activities, as needed
– Attend monthly staff meetings
– Responsible for tracking volunteer hours

Work Hours: This position is a full-time position. The Mission adjusts community and service hours based on the season conditions to ensure community members are best served. The position requires work outside regular operational hours when meeting with partners or individual donors or when other responsibilities of this position require immediate attention.

Qualifications / Skills:
– Outgoing, positive attitude
– Willingness to engage with community members in verbal communication that is courteous and welcoming
– Must work well with all staff members
– MS Office experience is required
– Working knowledge of QuickBooks is preferred
– Must have experience in developing a budget
– Must be able to communicate well, via e-mail and in-person
– Public speaking experience is required

Education and Experience Requirements:
– Bachelor’s degree is preferred
– Two years of ministry or leadership experience in a church or non-profit setting is preferred
– Theological education or ordination in ministry is preferred, but not required
– Non-profit experience working in homelessness, poverty, or other compassionate areas is
– Must agree to and affirm the Washington Street Mission Statement of Faith and Standing Rules
– Must be able to stand, squat, and carry up to a minimum of 25 lbs.
